Our client, a leading Investment bank are looking for an Executive Assistant to join their team in a newly created position.  The EA will provide administrative and organisational support for executives across multiple business units, based in their Sydney office. The successful candidate will be a self-starter who has demonstrated the ability to function independently in a fast-paced, dynamic and demanding environment.  This person will be intellectually curious, intuitive, detail oriented, resourceful, trustworthy and have the highest ethical standards. In addition, the individual will be effective addressing a number of internal and external audiences in a professional manner.  This person will add value by working on a number of simultaneous projects with minimal supervision and exemplary follow-through.
 
Key Responsibilities
  • Maintain calendar and handle scheduling of all meetings and appointments
  • Organise and arrange both onsite and offsite meetings and other event planning duties
  • Arrange travel needs through internal travel department and create complete travel itineraries for all trips
  • Assisting in expense claims
  • Manage, organise and maintain accurate files
  • Act as liaison between executives and business colleagues
  • Perform other duties as assigned 
 
Skillset Requirements
  • Experienced professional with a minimum of 5 years of experience, preferably with both executive assistant and office management experience
  • Background working in a financial/investment organisation would be highly desirable
  • Excellent written and oral communication skills
  • Proven record of successful problem solving
  • Superior organisational skills and record-keeping, and strong attention to detail
  • Excellent interpersonal skills, positive attitude and high energy level
  • Requires some flexibility with work schedule
  • Adaptable, flexible to changes and the ability to work in a fast-paced environment
  • Proficiency in Microsoft Windows, Excel, PowerPoint, and related software
