Supporting the delivery of a large-scale experience in all aspects working within a PMO of a large-scale program. The role will support the project teams within the program including multiple Program Managers, reporting to the PMO Manager.
Key Responsibilities:
Manage end to end program resource onboarding/offboarding/induction processes for Program resources including obtaining necessary approvals in line with the organisations processes.
Assist in the managing of contractor and ongoing staff administration for the entire project
Management of contractor administration, including coordinating, engagement of contractors and ongoing staff.
Status reporting including production of reporting meeting packs
Resource timesheet administration include Fieldglass maintenance of work orders, project codes, timesheet access
Meeting management including scheduling meetings and workshops
Maintain the project/s SharePoint sites including setup, user access and provisioning
Maintain the project/s TRIM directories including storing relevant project artefacts
Maintain the project staff distribution lists, Registers, and team mailbox
Ensure all project staff have completed necessary Security and Privacy checks
Hardware support for testing and training activities
Facilities management (seating, logistics, relocations)
Provide day to day administrative support to PMO Lead, Program and Project Managers and Program Team
Experience:
Previous experience working in a program delivery team with various project streams
A minimum of 4 years’ experience in a similar role providing strong project administration, coordination and support, ideally within a delivery PMO team
Advanced MS Office Skills (Word, PowerPoint, Excel, Visio, Project)
