Ethos BeathChapman is partnering with a NSW Government agency to appoint an experienced Executive Officer / Business Coordinator to support a diverse senior executive group. This is an excellent opportunity for a polished, proactive and highly organised professional who enjoys working closely with senior leaders and taking ownership of priorities, deadlines and complex business activity. You will work closely with one Executive Director while supporting a wider executive team when required. 

While the formal position title is Business Coordinator, the role operates much more like an Executive Officer position. It is not heavily focused on traditional diary management and administrative tasks. Instead, you will act as a central coordination point, ensuring priorities are progressed, deadlines are met, stakeholders provide required input and senior leaders remain across important actions and deliverables.

The role

  • Working closely with a senior executive and their leadership team, you will:
  • Coordinate priorities, workflows, actions and deadlines across multiple business areas
  • Track key deliverables and reporting requirements and proactively follow up outstanding actions
  • Coordinate and consolidate input from multiple stakeholders for briefs, reports and other executive-level deliverables
  • Assess incoming requests, determine priorities and use sound judgement around what requires escalation
  • Prepare and coordinate high-quality briefs, correspondence, reports, meeting papers and other documentation
  • Maintain oversight of competing priorities and ensure commitments are progressed within required timeframes
  • Build strong relationships with Directors, senior executives and stakeholders across the organisation
  • Provide selective diary, meeting and administrative support where required
  • Identify gaps, issues or potential problems before they reach senior leadership
  • Support improvements to business processes, administrative practices and ways of working
  • This role requires a high level of judgement and discretion and is accountable for ensuring work is delivered on time and to the expected quality.
About you
  • We are looking for someone who is confident, highly organised and comfortable working with senior people in a fast-moving environment.
  • Experience as an Executive Officer, Business Coordinator, Executive Coordinator, Business Manager or senior-level Executive Assistant
  • Strong experience supporting senior executives and leadership teams
  • Exceptional organisation and the ability to manage multiple priorities and immovable deadlines
  • A proactive, self-starting approach with the judgement to know what to resolve independently and what to escalate
  • Excellent attention to detail and the ability to identify errors, gaps or missing information
  • Polished written and verbal communication skills
  • Confidence engaging directly with Directors and senior executives
  • Experience preparing or coordinating briefs, reports, correspondence, meeting papers and executive documentation
  • The ability to work effectively where priorities change and processes may not always be clearly documented
  • A collaborative and adaptable approach when working across different teams and personalities
  • Experience within government, regulatory, legal, professional services or another complex executive environment would be highly regarded
  • Experience handling sensitive and confidential matters
